Detailed User Flow Examples for HR Chatbot

This document provides in-depth examples of user interactions for all three options available in the HR Chatbot: General Inquiries, HR or Payroll Questions, and Grievances. These examples showcase how the bot handles different types of queries and provides appropriate responses.

🟢 General Inquiries

Scenario 1: Weather Inquiry

User Input: "How is the weather tomorrow?"

Bot Response: The weather forecast for tomorrow is sunny with a high of 75°F. Please ensure to stay hydrated and wear sunscreen if you plan to be outdoors. If you have any further questions, feel free to ask!

Scenario 2: Company Event Inquiry

User Input: "When is the next company event?"

Bot Response: The next company event is scheduled for Friday, July 14th at 3 PM in the main conference hall. It's our annual summer party, and we look forward to seeing you there! If you have any more questions, please let me know.

Scenario 3: Policy Inquiry

User Input: "What is the company's policy on remote work?"

Bot Response: Our company's policy on remote work allows employees to work from home up to two days a week, with manager approval. You can find more details on the company intranet under the HR policies section. If you need further assistance, feel free to ask.

🟠 HR or Payroll Questions

Scenario 1: Time Off Inquiry

User Input: "My wife is having a baby tomorrow, can I take time off?"

Bot Response: Is your leadership aware of your situation?

User Input: "Yes"

Bot Response: Congratulations! Please follow your leader's instructions regarding your time off. Ensure you fill out the necessary paperwork as per company policy. If you need further assistance, feel free to ask.

Alternative User Input: "No"

Alternative Bot Response: I recommend speaking with your leadership as soon as possible to inform them of your situation. In the meantime, you can refer to the company's leave policy on the intranet. If you have any more questions, please let me know.

Scenario 2: Pay Discrepancy

User Input: "My pay is not correct, I worked 45 hours not 35."

Bot Response: Thank you for bringing this to our attention. I have created a ticket for the payroll specialist to investigate this issue. You will be informed once it is resolved. If you have any further questions, please let me know.

Scenario 3: Benefit Inquiry

User Input: "Do I qualify for health benefits?"

Bot Response: To determine your eligibility for health benefits, please log in to your employee account on the company intranet and navigate to the benefits section. If you need further assistance, feel free to ask.

🔴 Grievances

Detailed Scenario: Reporting a Grievance

User Input: "John does not ever wear his safety glasses, but I got in trouble for not wearing them once."

Bot Response: Please describe the incident in detail.

User Input: "The incident happened in the office. It occurred on March 5th, 2024 at 3 PM. John was involved, and I felt very angry and unsafe."

Bot Response: Can you describe exactly what happened during the incident? Were there any other people involved or witnesses? Was anyone in danger or were there any injuries or violent actions?

User Input: "John was not wearing his safety glasses, and our supervisor only reprimanded me for not wearing mine."

Bot Response: How did the situation make you feel? (anger, sadness, etc.)

User Input: "I felt very angry and unfairly treated."

Bot Response: Do you have any specific concerns (e.g., discrimination, physical or emotional violence, safety issues)?

User Input: "Yes, I feel it was unfair treatment and discrimination."

Bot Response: Was anyone in danger during the incident? Please describe any injuries or violent actions.

User Input: "No one was in physical danger, but it was emotionally distressing."

Bot Response: Based on the details provided, we are categorizing your grievance as a concern for unfair treatment and discrimination. This report will be reviewed by the HR team, and appropriate actions will be taken. You will be informed about the progress. If you have any more information to add, please let me know.

User Input: "That's all for now."

Bot Response: Thank you for sharing your grievance. If you need further assistance or have more information to provide later, please do not hesitate to reach out. Your report is important to us, and we are committed to ensuring a fair and safe workplace for everyone.
